
If the process for managing records or search and discovery was linear, we wouldn't need many fancy, sophisticated tools to help us. But as it turns out, the process can be quite complicated and can go in many different directions.
Clearwell Systems (news, site), known for its eDiscovery platform, has announced the addition of three new modules to help users simplify the process by eliminating the need to move data across multiple tools.
By the time users have entered the production phase of eDiscovery, it's not uncommon for them to learn of new keywords. Traditionally, they'd be obligated to redo the process and run new keywords, search documents and start the review process all over again. Not only would this promise to be a tedious process, it would also be a costly one.
Clearwell took it upon themselves to figure out a way in which data could be updated without having to be moved. Now, with the Clearwell eDiscovery Platform 5.0 it can.

Version 5.0 provides a single, integrated e-discovery product that enables users to deploy an "iterative, dynamic and defensible eDiscovery process.” In laymen terms, it means that users can filter, process, analyze, review, redact, and produce in a single, integrated product, eliminating the need for import and export of data between multiple tools, reducing manual errors and lowering the overall cost and duration of eDiscovery. In addition, it automatically tracks all the actions performed on all case documents in the workflow.
Thanks to the three new modules, Clearwell eDiscovery Platform 5.0 aims to be the "iPhone of eDiscovery," synchronizing data across its platform -- all the while processing, reviewing and producing reports that strive to be accurate and thorough. Let's take a closer look at the new modules:
- Clearwell Pre-Processing Module: With its interactive filtering capabilities eDiscovery teams can filter out data by known files, custodian, date, strong file type and size. Pre-processing analytics lets users visually summarize detailed document set characteristics and view detailed statistics by custodian, timeline and file type. Users can assess statistical make-ups of their case data and project downstream eDiscovery costs.
- Clearwell Review Module: Redaction capabilities allow reviewers to redact documents, apply reason codes and verify redactions prior to production. Auto keywords, phrases and personal information such as name, Social Security numbers, credit card numbers and phone numbers can be redacted. Clearwell also introduced decision-tree tagging capabilities that allow reviewers to tag individual documents or sets of documents using a multi-layer tree structure. A new Native Viewer allows reviewers to view 400+ documents in native form without requiring the application to be loaded on the reviewer’s desktop.

- Clearwell Production Module: An image-based production functionality enables users to convert any set of documents to TIFF or PDF at any time and burn redactions on the image. Production options include bates stamping, watermarking, custom header/footer and various export options. Users can track the progress of each production in real-time and view produced document sets within Clearwell in the exact format provided to outside parties.
While more and more companies seek out eDiscovery solutions in an effort to save time, money and reputations, they are bringing the process in-house. Companies have a lot a data to sort through and despite their best efforts, they don't always approach the process methodically.
